Privacy policy
This policy explains what personal data Web Inkpot collects, why we collect it, how we keep it safe and what rights you have. We have written it in plain English. Last updated: 21 October 2026.
Who we are
This website, webinkpot.com, and the client area at clients.webinkpot.com are operated by Web Inkpot, Dubai, United Arab Emirates (“Web Inkpot”, “we”, “us”).
We follow the UAE Personal Data Protection Law (Federal Decree-Law No. 45 of 2021) and other UAE laws that apply to us. If you have any question about this policy, email info@webinkpot.com.
What data we collect
We only collect data we need to answer you, provide our services and run our business. This may include:
- Contact details you send us: name, company, email, phone or WhatsApp number, and the content of your message.
- Account and billing details when you become a client: billing address, TRN if you have one, order history, invoices and payment records. Card payments are handled by our payment provider; we do not store full card numbers.
- Domain registration details: the registrant name and contact details that domain registries require, including the .ae registry.
- Support records: tickets, emails and chat messages about your services.
- Technical data: IP address, browser and device type, pages visited and time on site, collected through server logs, cookies and analytics.
Contact forms and enquiries
When you fill in a form on our website, we use the details to reply to you, prepare a quote and follow up on your enquiry. We do not add you to a marketing list unless you ask us to or tick a box that says so. You can tell us to stop contacting you at any time.
Cookies and analytics
Our website uses a small number of cookies. Some are needed for the site and the client area to work, for example to keep you logged in. Others help us understand how visitors use the site, using tools such as Google Analytics, so we can improve pages that are not working well.
If we run advertising, such as Google Ads, we may use conversion cookies to measure which ads lead to enquiries. Where consent is required, we ask for it through a cookie banner. You can also block or delete cookies in your browser settings; the site will still work, but some features may not.
Data on our hosting servers
If you host a website or email with us, your files, databases and mailboxes may contain personal data about your own customers. For that data, you decide what is collected and why, and we act on your behalf as a service provider. We do not access, use or share that content except to provide and support the service, keep it secure, or when the law requires it.
You are responsible for having a lawful basis for the personal data you store on your site, and for your own privacy policy. We keep backups as described in your hosting plan and delete your data after your service ends, as set out under Retention below.
The WHMCS client area
Our client area at clients.webinkpot.com runs on WHMCS. It holds your account details, services, domains, invoices and support tickets. Access is protected by your password, and we recommend turning on two-factor authentication. Our staff can see your account information when they need to help you or manage billing.
How we use your data and our legal basis
We use personal data to:
- Reply to enquiries and prepare quotes (steps you asked us to take before a contract).
- Provide, bill and support the services you order (performance of a contract).
- Register and renew domains in your name (performance of a contract and registry rules).
- Keep accounting and tax records (legal obligation under UAE law).
- Protect our servers and clients from fraud, abuse and attacks (our legitimate interest in security).
- Send news or offers, only where you have agreed (consent, which you can withdraw at any time).
Who we share data with
We do not sell personal data. We share it only with parties that help us deliver our services, and only as much as they need:
- Domain registries and registrars, to register and manage your domains.
- Data centre and infrastructure providers that host our servers.
- Payment providers and banks, to process payments.
- Email delivery, analytics and support tools we use to run the business.
- Professional advisers such as accountants and lawyers, under confidentiality.
- Government or regulatory bodies, when UAE law requires it.
Transfers outside the UAE
Some of our providers, including server locations and software tools, may be outside the UAE. Where personal data leaves the UAE, we take steps required by UAE law, such as using providers with appropriate safeguards and written agreements.
How we keep data safe
We use encrypted connections (SSL/TLS), firewalls, access controls, software updates and regular backups. Only people who need data to do their job can access it. No system is completely secure, so if we become aware of a breach that affects your personal data, we will tell you and the relevant authority where the law requires it.
How long we keep data
We keep personal data only as long as we need it for the purpose it was collected, or as long as the law requires. As a guide:
- Enquiries that do not become projects: up to [24 months], then deleted.
- Client account, invoices and payment records: for as long as UAE tax and commercial law requires.
- Support tickets: for the life of your account and up to [24 months] after.
- Hosted website files, databases and email: deleted within [30 days] after your service ends, unless you ask us to keep or transfer them.
- Analytics data: according to the retention setting of the analytics tool, currently [14 months].
Your rights
Under the UAE Personal Data Protection Law you have rights over your personal data. Subject to the conditions and exceptions in the law, you can ask us to:
To use any of these rights, email info@webinkpot.com. We may need to confirm your identity first. We will reply within the time the law allows. If you are not happy with our answer, you may complain to the UAE Data Office.
- Tell you what personal data we hold about you and give you a copy.
- Correct data that is wrong or incomplete.
- Delete data we no longer need or have no right to keep.
- Restrict or stop certain processing, including direct marketing.
- Send your data to you or another provider in a usable format.
- Withdraw consent you have given, without affecting earlier processing.

Our website may link to other sites, such as payment pages or tools we use. Those sites have their own privacy policies, and we are not responsible for how they handle your data.
Changes and contact
We may update this policy when our services or the law change. The date at the top shows the latest version. For any privacy question or request, contact us at info@webinkpot.com.
